4 Steps to Accelerate Intelligent Digital Transformation within Your Organization

In today's fast-moving landscape, the digital transformation movement has become a technological arms race. A growing number of organizations are leveraging digital solutions to modernize legacy systems, innovate ways of working and gain a competitive advantage.

According to research firm IDC, direct digital transformation investment is increasing at 17.5 percent; and is forecast to reach $7.4 trillion between 2020 and 2023. But the reality is that many organizations are perplexed by the vast choice of digital tools available to them. They want to take advantage of new capabilities like automation, but they're uncertain where to begin. They're struggling to identify which solutions to invest in; and how to deploy these to deliver maximum business impact.  

Four key categories of automation tools to drive your digital transformation journey

The technologies needed to effectively execute your organization's smart digital transformation journey can be grouped into four categories:

1.    RPA & Bots

Robotic process automation (RPA) uses software robots (known as bots) to execute standard, easily repeatable internal tasks, rather than relying on employees to carry these out manually. This approach can help to reduce human error and increase operational accuracy within an organization. But it doesn't mean leaving humans out of the loop altogether. Through thoughtful RPA, businesses can connect human and digital workforces to get work done faster and more efficiently.

2.    DPA

Digital process automation (DPA) refers to a set of workflow design tools that drive process automation. This technology standardizes internal processes through automation, freeing up employees from repetitive and mundane tasks, so their talent can be better utilized by the organization. Due to its intuitive user interfaces and the ease with which it integrates with existing IT resources, DPA is a cost-effective and user-friendly alternative to traditional business process management tools.

3.    Process Mining

With process mining, enterprises can better define and eliminate bottlenecks and inefficiencies in their process workflows. Customers can extract data from their operational systems and leverage powerful artificial intelligence (AI) techniques to continuously optimize and adapt their business processes to accelerate digital transformation and deliver improved outcomes.

4.    AI

By now, most modern, tech-savvy organizations are familiar with the power of AI. However, you may be struggling to imagine how AI capabilities could be used to drive digital transformation in your enterprise. Today, your business can access intelligent capabilities like machine learning, optical character recognition and natural language processing-and integrate these with RPA and DPA to automate a greater range of tasks.

Essentially, work that once required human intelligence, such as extracting details from unstructured content or making sense of a customer inquiry, can now be executed through a strategic mix of AI and automation, freeing up time and resources.

Any organization, regardless of industry or size, can accelerate digital transformation with a strategic roadmap in place. Outlined below are four essential steps for your company to follow.

Step 1: Search for and uncover untapped opportunities for automation

Encourage IT and business to work together to identify and prioritize routine processes that could benefit from automation. Often, this includes workloads that involve a high volume of recurring data processing tasks. The goal here is to choose projects that will deliver quick wins internally and prove the business value of automation to executive leadership.

You could approach this by department or process. For example, some companies look to automate human resource processes first to help simplify day-to-day operations for HR representatives and employees. These tasks could include employee onboarding, annual performance reviews, policy updates and more.

Step 2: Optimize, optimize, optimize

Next, you need to pinpoint and unveil any siloed and overlapping business processes internally that could be optimized. Evaluate which process components could be automated to save time and boost profitability. 

For example, processes that rely on data and information can become much more efficient when technology is used to pull content from multiple content management systems into a central workspace. This reduces data duplication and enhances collaboration and productivity. It also allows you to apply reporting and analytics tools to your content-centric processes so that you can unlock valuable business insights.  

Step 3: Customize the digital journey to align your organization's unique landscape

You should tailor your digital journey with tools that:

  • Enable IT to drive governance and control across all applications through centralized management capabilities.
  • Provide a continual feedback loop for ongoing process improvement.
  • Utilize best-of-breed DPA, RPA, process mining and AI partnerships to deliver an optimal and comprehensive solution.

Step 4: Spearhead a Center of Excellence (COE)

To be successful, businesses should establish an internal Center of Excellence (COE). This hub brings IT and business expertise together to create a multi-disciplinary and unified foundation for strategic and efficient digital transformation projects.
